The Shipping and Receiving Coordinator at Metaltech Service Center is responsible for planning, organizing, and executing all outbound shipping activities as well as all inbound receiving operations for a busy metal distribution and processing facility. This role ensures that customer orders—including metal plate, sheet, bar, tube, structural shapes, and processed parts—are accurately staged, packaged, documented, received, inspected, and processed on schedule. The coordinator works closely with the Production Supervisor, warehouse personnel, drivers, and sales teams to maintain high service levels, regulatory compliance, and safe handling of heavy metal products.
- Review daily shipping and receiving schedules, sales orders, production work orders, and inbound delivery appointments to prioritize warehouse activities.
- Coordinate pickups and deliveries with LTL, FTL, flatbed, hot-shot carriers, and company trucks.
- Ensure outgoing materials meet all customer specifications including size, packaging, labeling, and load-securing requirements.
- Oversee inbound deliveries by verifying purchase orders, unloading materials, inspecting for damage, and directing items to proper staging or storage locations.
- Confirm all received materials match vendor paperwork (grade, size, heat number, quantity) and initiate discrepancy reports when needed.
- Plan truck loads to meet DOT requirements and proper weight distribution for heavy metal products.
- Communicate with carriers to confirm appointments, resolve delays, obtain freight quotes, track shipments, and coordinate inbound receiving windows.
- Generate Bills of Lading (BOLs), packing lists, shipping labels, receiving forms, and other required documentation.
- Maintain accurate records in the company ERP or warehouse management system.
- Verify proper inventory transactions on all shipped and received orders and close order lines accurately.
- Enter receiving data, upload certifications, and ensure heat-number traceability is recorded upon receipt.
- Prepare and distribute daily shipping and receiving reports to the Production Supervisor and customer service team.
- Work directly with customer service and sales to confirm shipping instructions, delivery deadlines, and special handling requirements.
- Provide customers with tracking information, carrier details, and shipment confirmations.
- Communicate with purchasing, suppliers, and drivers regarding inbound deliveries, discrepancies, or damaged materials.
- Collaborate with production, processing, saw operators, and warehouse staff to ensure orders are completed, staged, inspected, received, and correctly routed.
- Assist with staging outgoing materials and verifying that all items match paperwork (grade, size, heat number, quantity).
- Unload inbound trucks, stage received materials, and ensure proper placement in storage racks, bins, or processing queues.
- Inspect all outbound packaging to ensure proper banding, wrapping, skidding, blocking, or dunnage for safe transit.
- Inspect incoming materials for damage, quality issues, or missing documentation; coordinate corrective actions with purchasing or suppliers.
- Operate forklifts, overhead cranes, and other material handling equipment if certified.
- Follow DOT, OSHA, and Metaltech safety policies for loading, unloading, and securing metal products.
- Verify heat-number traceability and certification documentation for all outgoing and incoming materials.
- Keep shipping, receiving, and staging areas clean, organized, and compliant with company quality standards.
- 2–4 years of experience in shipping/receiving, logistics, or warehouse operations; metal or industrial distribution experience preferred.
- Knowledge of LTL, FTL, flatbed, and specialized freight.
- Ability to use ERP or warehouse management software.
- Ability to read work orders, packing lists, receiving documents, and material specifications.
- Strong organizational, communication, and multitasking skills.
- High attention to detail and accuracy.
- Experience in the metal service center industry (steel, aluminum, stainless steel, structural shapes, plate, coil, bar, etc.).
- Forklift and overhead crane certification.
- Familiarity with ISO quality systems or similar operating procedures.
- Experience with export documentation is a plus.
- Ability to stand and walk for extended periods in a warehouse environment.
- Lift or move materials up to 40 lbs. with equipment or team assistance.
