We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our Executive Director. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to prioritize tasks efficiently. This role will involve coordinating schedules, managing documentation, and facilitating communication between departmental staff and external stakeholders.
Primary Responsibilities:
- Manage the executive's calendar, scheduling appointments, meetings, and events.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation.
- Prepare and organize documents, reports, and presentations for internal and external meetings.
- Serve as a liaison between departmental staff and external stakeholders, including government agencies, contractors, and community members.
- Maintain confidential files and records, ensuring compliance with all relevant regulations and policies.
- Coordinate special projects and initiatives as assigned by departmental leadership.
- Manage incoming communications, including phone calls, emails, and correspondence, and prioritize accordingly.
- Provide administrative support during departmental meetings, including taking minutes and distributing follow-up action items.
- Serve the Water and Sewer Utility Board as Board Secretary. Prepare board meeting agenda, advertisements, and other necessary communications.
- Bachelor's degree in business administration, public administration, or a related field preferred.
- Proven experience as an executive assistant or in a similar administrative role.
- Strong proficiency in Microsoft Office Suite and other relevant software applications.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
- Exceptional communication skills, both written and verbal, with a professional and courteous demeanor.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility and adaptability to changing priorities and deadlines.
- Knowledge of water and sewer industry terminology and processes is a plus.
