We are seeking a highly organized and proactive Administrative Assistant to support our corporate and operations teams. The ideal candidate will have strong administrative skills, excellent attention to detail, and the ability to manage multiple priorities in a dynamic, fast-paced environment.
The Administrative Assistant supports our day-to-day operations by providing comprehensive administrative and clerical assistance. This role is responsible for coordinating schedules, preparing documentation, managing correspondence, and maintaining organized filing systems. The ideal candidate will be detail-oriented, proactive, and skilled at managing multiple priorities in a dynamic, technical environment.
Candidates must reside in one of the following locations: Grande Prairie, AB
- Previous experience in administrative or operations support roles.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office and familiarity with maintenance tracking systems.
- Ability to work independently and as part of a team.
- Excellent communication and time management skills
- Update and maintain equipment and unit maintenance logs on Limble.
- Track service schedules and ensure documentation is complete and up to date.
- Assist with insurance documentation for company units.
- Liaise with internal teams and external providers to ensure coverage is current and compliant
- Coordinate with the Site Manager to prepare for and participate in site inspections.
- Document findings and follow up on required actions.
- Handle general office duties including filing, data entry, and correspondence.
- Support the operations team with scheduling, reporting, and document control.
- Support procurement and logistics activities, including PO filing and day to day urgent purchases
- Driver and trailer certification management on Monday.com
- Update KPI spreadsheet
- Work with Senior Operations Manager to complete and submit IFTA reports
Ad hoc items as required; perform such other duties and responsibilities as assigned by Management
