The Storm Coordinator plays a critical role in ensuring that our field operations and client communications run seamlessly during emergency events. The pay is a base pay mixed with bonus' for each storm event worked.
Job Overview The Storm Coordinator is a critical member of Vision Utilities’ storm response team, serving as the operational bridge between clients, field personnel, external agencies, and the Vision back office. This role oversees all administrative, logistical, and communication functions during severe weather events, ensuring accuracy, rapid response, and exceptional service throughout each deployment.

Experience in office management, customer service, and technical systems is highly beneficial to support seamless operations.
As a vital link within the storm response structure, the Storm Coordinator ensures timely and accurate dissemination of information, effective coordination across teams, and smooth execution of all workflow processes. This position may require extended hours including nights, weekends, and holidays, depending on storm severity and duration. The role offers a dynamic work environment with opportunities for growth in both administrative and emergency management fields.
- Serve as the primary point of contact between Vision Utilities, the client, and field leadership during storm events.
- Ensure real-time flow of information between field operations and the back office.
- Prepare, update, and maintain accurate rosters of all deployed crews, including crew composition, equipment, and GF assignments.
- Track employee movements, crew changes, and resource availability daily.
- Coordinate hotel/lodging for all deployed personnel, ensuring proximity to job sites and compliance with client requirements.
- Maintain detailed lodging logs and communicate nightly occupancy reports.
- Assist with travel arrangements for incoming and departing crews when needed.
- Process reimbursement requests for fuel, meals, supplies, and other storm-related expenses.
- Maintain compliance with Vision’s reimbursement policies and client guidelines.
- Support field teams with forms, documents, and on-the-spot problem-solving.
- Distribute daily reports, updates, and summaries to internal leadership and client counterparts.
- Maintain logs of all major decisions, changes, and communications during active events.
- Escalate urgent issues to the VP of Back Office and executive leadership promptly.
- Collect, review, and submit all timesheets for field crews and leadership.
- Support payroll and invoicing teams by providing timely, error-free data.
- Ensure accuracy of hours, classifications, equipment time, and client-required coding.
- Strong organizational skills with the ability to prioritize tasks effectively under pressure.
- Excellent communication skills both verbal and written; bilingual abilities are advantageous.
- Experience with multi-line phone systems, calendar management, customer support roles, or personal assistant responsibilities is desirable.
- Knowledge of clerical functions such as proofreading, time management, phone etiquette, and office procedures is essential.
- Familiarity with bookkeeping software like QuickBooks or basic accounting practices is beneficial but not required. This position plays a critical role in ensuring efficient storm response operations through effective communication and organization.
- Participate in pre-storm planning, rapid mobilization activities, and post-storm closeout processes.
- Assist in gathering required documentation for invoicing, audit, and/or compliance purposes.
