Description Operations Administrative Support This position is responsible for administrative support for our team of professionals who provide high-end engineering consulting design, construction, and maintenance services. Asplundh Engineering Services provides superior, full service professional engineering, engineering support, equipment procurement, and automation controls integration—from planning and design to implementation and commissioning. AES-Ambler’s in-house panel shop allows custom control design/build manufacturing. We have been delivering reliable design of complex electrical systems for over 20 years and are a pioneer in the development of engineering and controls automation. Job Type

Essential Functions & Responsibilities
- Drafting, editing, and performing quality control on engineering, controls and equipment proposal documents
- Assist with organization and packaging of RFP (request for proposal) and RFI (request for information) responses
- Assist with studies, reports, project specs, and other documentation
- Log and save transmittal emails in the database and project folders
- Assist with shop drawings
- Assist with updating Operations policies and procedures
- Solicit project close out and project summary data from Project Managers and enter information into the database
- Enter project data into database
- Enter vendor and client contact information into the database and Outlook address book
- Supports updating marketing materials as required
- Supports updating resumes
- Assists with data entry as needed
- Prepares and formats documents and correspondence
- Assists with internal and external presentations
- Performs other duties as assigned, including clerical functions as needed to support Operations
- General administrative duties as needed (i.e. phone coverage, meeting minutes, meeting coordination and scheduling)
- Complete and submit weekly paperwork (e.g. Timesheets, Expense Reports, etc.)
- Performs other duties as assigned including clerical function as needed to support operations
- Proficient in Microsoft Office Suite
- Must have excellent time management and communication skills
- Ability to work accurately, with attention to detail
- Strong verbal and written communication skills
- High School Diploma
- 1-3 years of administrative experience
Travel
Little to no travel is required for this position
Physical Requirements
The employee is occasionally required to sit; climb or balance, and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
