Under the direction of the Director of Human Resources, the Human Resource Representative is primarily responsible for providing administrative human resources support to managers and the Human Resources team, and supporting the coordination and implementation of human resources practices to support a high-performance culture at Magnum that emphasizes quality, productivity, and company standards.
Job Responsibilities
•Maintain and manage personnel documents and central files (employee files, training records, certifications, performance documents, etc.) in accordance with FOIP/PIPA legislation.
•Utilize and maintain employee-related databases, and prepare and analyze reports when required.
•Update handbooks, policies, and organizational charts as needed to ensure they are current and up to date.
•Review, revise, and classify job descriptions to ensure accuracy and consistency.
•Track and report out on weekly, monthly, and quarterly metrics, including but not limited to headcount, turnover, vacation, and recruitment.
•Coordinate and manage employee recognition programs, communication projects, and corporate events.
•Track employee probationary periods. Assist managers in the completion of regular Probationary Reviews to assess employee performance during their probationary period and if additional resources or support is needed.
•Coordinate and administer the employee education program by ensuring requirements are met, tracking participation, filling out training agreements, and assisting employees as needed.
•Conduct new hire check-ins and exit interviews to identify common factors and opportunities to enhance retention.
•Assist in managing employee communication and feedback through such avenues as the employee satisfaction survey initiatives, newsletters, and one-on-one meetings.
•Track employee housing tenants and coordinate housing agreements and rent with the payroll department.
•Manage company social media sites, ensuring content is professional and mindful of confidential information.
•Support benefit and compensation practices and projects.
•Support administrative components of new hires, rehires, terminations, or employee status changes.
•Support the Recruiter as needed with posting jobs, participating in career fairs, screening resumes, conducting phone screens, scheduling interviews, conducting reference checks, and creating offer letters.
•Support the onboarding process by processing paperwork, appointment scheduling, and orientating employees.
•Provide backup to the rest of the human resources team when immediate support is required (ex. workplace injuries, complaints, WCB, etc.).
•Participate in various department initiatives and projects.
•Participate in training and development activities.
•Other related duties as required.
Qualifications - Required
•Related certificate, degree, or diploma in Human Resources, Business, or a related field, or a combination of education and experience.
•Previous work experience in an office environment.
•Able to work overtime and travel.
•Legally eligible to work in the country the role is based out of.
