Job Description
The Accounts Payable Administrator is essential in ensuring the accurate and timely processing of invoices, maintenance of vendor accounts, and support for financial reporting activities. The Accounts Payable Administrator will play a key role in supporting the Finance team by maintaining a high standard of administrative accuracy, compliance, and responsiveness to both internal stakeholders and external vendors.
Accounts Payable Operations
- Accurately record and process supplier invoices in the accounting system on a daily basis.
- Review invoice details for completeness, correct coding, and alignment with purchase orders or contracts.
- Manage the Accounts Payable email inbox, responding to inquiries and forwarding items to appropriate team members when required.
- Respond to vendor inquiries regarding payment status, discrepancies, or documentation, via phone and email.
- Reconcile vendor statements and follow up on outstanding items or payment issues.
- Ensure invoices are approved in accordance with company delegation of authority and project policies.
- Perform general administrative duties including photocopying, filing, scanning, and printing of finance documents.
- Ensure full compliance with internal controls, company policies, and financial procedures.

- Assist in the implementation and adherence to Accounts Payable and Accounts Receivable policies and procedures.
- Work with assigned billing specialists to review outgoing invoices and follow up on collections as needed.
- Monitor and understand work-in-progress (WIP) balances and assist with resolving unbilled items.

- Support the Accounting Manager in preparing monthly financial statements, including the Balance Sheet and Profit & Loss reports.
- Maintain accurate cost tracking and coding of expenses to ensure proper allocation in the general ledger.
- Assist in the preparation and reconciliation of journal entries.
- Help prepare monthly reporting packages and supporting documentation for internal and external stakeholders.
- Contribute to the ongoing improvement of finance systems, workflows, and reporting tools.

- Post-secondary education in Accounting, Finance, or a related field.
- Minimum 1–3 years of relevant experience in an Accounts Payable or finance support role, preferably in a construction or project-based environment.
- Proficiency with Microsoft Office, especially Excel (e.g., spreadsheets, formulas, and pivot tables).
- Familiarity with ERP systems or accounting software (SAP, Oracle, JD Edwards, etc.) is an asset.
- Ability to handle high-volume invoice processing while maintaining accuracy and meeting deadlines.
- Ability to work under pressure, adapt to shifting priorities, and meet tight deadlines in a dynamic project environment.
- Strong analytical, organizational, and documentation skills.
- Excellent communication skills for engaging with internal and external stakeholders.
- Positive team attitude with a willingness to learn and take initiative.
- Experience working in a joint venture or large infrastructure project environment is an asset.
