Job Overview
We are seeking a detail-oriented and experienced Payroll Specialist to join our team. The ideal candidate will possess a strong background in payroll management and accounting principles, with proficiency in various payroll software systems. This role is essential for ensuring accurate and timely processing of payroll, maintaining compliance with applicable laws, and supporting our HR department.
- Process weekly payroll, ensuring accuracy of hours worked, overtime, per diem, travel pay, and shift differentials across multiple states or regions.
- Review timekeeping records, job tickets, and field reports for compliance with company policies and state/federal wage & hour regulations.
- Maintain accurate employee payroll records, including new hires, transfers, promotions, and terminations.
- Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices
- Administer and reconcile payroll deductions such as benefits, garnishments, and other withholdings.
- Generate and distribute payroll-related reports for management, accounting, and project/job costing.
- Prepare and distribute W-2s, 1099s, and other tax documents
- Provide timely support and responses to employee and manager payroll inquiries.
- Collaborate with HR and Finance teams to ensure proper benefit deductions and accounting entries
- Prepare and provide documentation for internal and external audits.
- Stay current on payroll regulations and industry-specific practices, recommending improvements to payroll processes as needed.
- Maintain accurate and up-to-date employee personnel files and HRIS records.
- Support new hire onboarding, including payroll and benefits enrollment.
- Assist with benefits administration and employee communication.
- Process employee changes such as promotions, status changes, and terminations.
- Provide documentation and reports as requested by management.
- Ensure compliance with company policies and employment regulations.
- Associate’s or Bachelor’s degree in Accounting, Finance, Human Resources, or related field preferred; equivalent work experience accepted.
- Minimum 5 years of payroll processing experience, with oil & gas, industrial services, or construction industry experience strongly preferred.
- Knowledge of wage & hour laws, overtime rules, and multi-state payroll compliance.
- Experience with payroll/HRIS systems such as ADP, QuickBooks, or similar.
- Strong Excel and reporting skills with attention to accuracy and detail.
- Solid understanding of payroll laws, tax regulations, and labor standards
- Excellent organizational and time management skills to meet strict payroll deadlines.
- Strong interpersonal skills with the ability to work collaboratively across departments.
- Ability to maintain confidentiality of sensitive information.
