The IT Project Coordinator at Ketek Group Inc. plays a pivotal role in the successful planning, execution, and closure of technology initiatives. This dynamic role is responsible for the end-to-end organization, tracking, and coordination of IT Projects, including contributing to requirements gathering, analysis and solution design. The Project Coordinator works closely with the Solutions Architect and cross-functional teams to ensure timely delivery, continuous improvement, and strategic alignment across all technological endeavors.
Develop and maintain project plans, schedules, and resource allocation to ensure IT projects are well-organized and progress efficiently.
Monitor project progress, identify potential deviations from the plan, and assist in implementing corrective actions to keep projects on track.
Coordinate meetings, facilitate communication between project stakeholders, and ensure timely dissemination of project updates and decisions.
Track and manage project deliverables, ensuring they meet quality standards and are completed within established timelines.
Support the Solutions Architect and IT Manager in prioritizing IT initiatives based on business value and resource availability.
Assist in gathering and documenting business requirements from stakeholders, translating them into functional specifications for IT projects.
Participate in the analysis of existing systems and processes to identify areas for improvement and propose technology-based solutions.
Support the Solutions Architect in defining solution scope, objectives, and deliverables, ensuring alignment with business needs.
Contribute to the design and testing of new IT solutions, ensuring they meet user requirements and are successfully implemented.
Effectively communicate project status, risks, and issues to both technical and non-technical audiences.
Provide timely and proactive updates to stakeholders on project status, issue resolution, changes in scope, and cost implications, ensuring transparency and building trust.
Facilitate stakeholder engagement to gather requirements, provide updates, and manage expectations throughout the project lifecycle.
Create, maintain, and govern comprehensive documentation for IT projects, including project plans, schedules, meeting minutes, and progress reports, ensuring clarity and accessibility for various audiences.
Ensure all project documentation is up-to-date and easily accessible to relevant stakeholders.
Develop and maintain detailed documentation of system requirements, functional specifications, and solution designs.
Identify and address inefficiencies in existing project management processes and workflows, championing solutions that enhance productivity.
Collaborate in the design and support the implementation of project management tools and methodologies that align with business objectives.
Proactively seek out opportunities for improvement and innovation in project coordination, proposing and implementing creative solutions that drive business value.

Bachelor’s degree in Computer Science, Information Technology, Software Engineering or Practical Equivalent.
Two or more years of experience related to IT project coordination, project management, or other Information Technology roles.
Two or more years of experience in troubleshooting and customer service.
Fluent in the English language (reading, written, spoken).
Demonstrated ability to communicate complexities of technical programs to both technical and non-technical audiences.
Ability to handle multiple tasks and frequent demanding deadlines.
Ability to handle changing schedules and priorities, with high-level prioritization skills.
Strong work ethic and organizational planning skills with attention to detail.
Ability to deal with the public in a positive, courteous, and respectful manner.
Ability to work independently and as part of a team.
Familiarity with project management methodologies (e.g., Agile, Scrum) and project management tools (e.g., Jira, Asana).
Regularly required to stand/sit, talk/hear, use hands/fingers to operate a computer and telephone, stoop, and kneel.
Potential exposure to loud noises and metal particulates. Hearing and respiratory protection is provided when needed.
Potential exposure to toxic substances associated with electronic equipment (i.e. toners, inks, acids, etc.).
Office environment (95%); yard and shop environment (5%).
May require occasional travel between the company's locations or to attend meetings and conferences.
May be required to work weekends and outside of regular office hours.
May be required to visit remote customer sites/facilities.
May be required to work in high, precarious places or low, cramped spaces.
