Job Summary:
The Office Management Coordinator supports Move Concierge by being its first point of contact, handling general office duties, and ensuring a positive work environment. This role will work closely with the Office Manager and will handle all front desk responsibilities. This includes greeting guests, answering phone and chat inquiries, monitoring emails, and supporting the event planning process.
Essential Job Functions:
- Serves as the first point of contact to employees, customers, and partners via phone, email, and in‐person.
- Monitors and clears the Company general information email inbox daily, responds to emails and dispositions accordingly.
- Performs as a company website Live Chat agent and forwards inquiries appropriately.
- Answers and monitors various Ring Groups.
- Ensure the break room is orderly and stocked with appropriate inventory throughout the day.
- Assists with preparing conference rooms for Executive meetings.
- Checks mail and the shipping/receiving/distribution of packages.
- Assists with ensuring duplicate leads are manually reviewed and cleared daily.
- Manage, sort, and dispense incoming mail.
- Prepare outgoing mail and packages.
- Supports special projects and company events.
- Maintains a clean and organized front desk area.
- Other responsibilities as assigned.
- One (1) to three (3) years of previous working experience preferred.
- Strong communication and interpersonal skills with good patience and professionalism.
- Detail oriented precision in all areas of work.
- Strong organizational skills.
- Ability to prioritize tasks according to urgency.
- Proficiency with basic office equipment and office software.
- Basic experience with Google Suite products (Gmail, Google Drive, etc.).
- Positive, can‐do attitude.
