Position Summary:
The Sales Administrator ensures all new sales are accurate, compliant, and properly documented before services begin. This role verifies pricing, bill type, contract type, service details, and customer expectations through outbound verification calls. The Sales Administrator acts as a quality-control checkpoint between sales and operations, helping reduce disputes, improve customer satisfaction, and protect revenue integrity.
Key Responsibilities Sales & Contract Verification
- Review all incoming sales orders for completeness, accuracy, and compliance with company standards.
- Verify correct pricing, service frequency, service packages, discounts, and promotions are applied.
- Ensure proper bill type (prepay, auto-pay, installment, per-application, etc.) is accurately selected according to company standards and customer agreements
- Validate contract type (seasonal program, annual contract, recurring services, one-time service, bundles) for alignment with the customer’s selected services.
- Validate property details, service areas, and customer notes for clarity.
- Review service setup to confirm proper production codes, service frequencies, and routing requirements.
- Conduct outbound calls to customers to confirm:
- Pricing and promotions
- Recommended services and service frequency
- Contract terms and bill type
- Auto-pay or payment requirements
- Start date and expectations for initial service
- Document all customer confirmations and update CRM with required notes.
- Address questions to ensure the customer fully understands their service agreement.
- Identify and correct discrepancies in pricing, service structure, or billing prior to job release into operations.
- Audit sales entries for adherence to corporate pricing guidelines and margin expectations.
- Work closely with sales representatives when corrections or clarifications are needed, providing coaching on proper sales entry standards.
- Assist in enforcing internal policies related to contract integrity, pricing rules, and customer commitments.
- Ensure all sales meet company compliance, legal, and operational requirements before being released to scheduling.
- Track and report repeat accuracy issues to management.
- Collaborate with Customer Service, Inside Sales, Field Sales and Production teams to resolve sales entry issues quickly and efficiently.
- Provide feedback to sales teams to improve quoting accuracy and customer transparency.
- Communicate patterns or recurring issues to management for training opportunities or process improvement.
- Support onboarding of new sales team members with guidance on proper data entry, pricing, contract accuracy and compliance expectations.
- Maintain a high level of accuracy when entering and updating customer accounts.
- Identify patterns that lead to customer complaints or billing corrections and recommend process improvements.
- Assist in refining verification scripts, call flows, and best-practice documentation.
- 1–3 years of experience in quality assurance, customer service, sales support, or similar roles.
- Strong attention to detail with proven ability to spot discrepancies easily.
- Excellent verbal communication skills, especially over the phone.
- Ability to interpret pricing sheets, service packages, and contract language.
- Proficient with CRM and billing systems (Salesforce, RealGreen, Pestpac or similar preferred).
- Strong problem-solving skills and ability to work cross-departmentally.
- Comfortable handling a high volume of verification calls.
