Major Responsibilities
- Provide administrative and technical assistance to the Vice-President, and Management Team of Regulatory
- Create high-calibre presentations and proof and edit documents to maintain adherence to a high professional standard respecting all materials distributed by the department
- In conjunction with the Regulatory Librarian, support regulatory filings by completing quality assurance, conducting research, supporting witness preparation, and completing AUC filings.
- Manage calendars for the VP and direct reports; prioritizing meeting requests, booking meetings/meeting rooms, preparing agendas and minutes to track action times, conducting necessary research for meeting preparation
- Assist with prioritizing the VP’s email and messages, knowing when to alert the VP to urgent matters, prepare and coordinate external correspondence as required and communicate advice and direction on behalf of the VP with both internal and external business partners
- Assist in the development, reconciliation, and reporting of the department budgets, forecasts and deliverables
- Screen and process large volumes of operational and business correspondence and prepare draft responses, or respond directly on pre-determined matters
- Create high-calibre presentations and proof and edit documents to maintain adherence to a high professional standard respecting all materials distributed by the department
- Assist in the reconciliation of the VP and direct reports monthly credit card expense report statements applying knowledge of MAXIMO and Workday applications and accounting procedures
- Process monthly procurement settlements, outside vendor invoices, supply orders, etc. to assure timely payment and compliance, accounting procedures, and budget constraints
- High School Diploma (or G.E.D.) and some post-secondary.
- A certificate, diploma or degree in business administration would be considered an asset
- Minimum of 8 years of related administrative experience, supplemented by a minimum of five years supporting senior management level
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint and Teams) are required
- Experience building dashboards and reports to provide insights considered a strong asset
- Skilled in balancing competing priorities while maintaining meticulous attention to detail and deadlines
- Excellent written and verbal communication skills with keen attention to detail
- Thorough understanding of typical records management best practices; knowledge of ENMAX specific Information Management Policy and Records Management Standard considered an asset
- A demonstrated ability to maintain confidentiality with sensitive information using independent judgment and discretion
- Thrives in a fast-paced, deadline driven environment and can adapt effectively with changing priorities
- Ability to conduct yourself professionally with various levels at ENMAX and external parties
- Highly motivated, energetic individual with great attention to detail

This role will be part of our hybrid work model that includes Core Days in office (Tuesdays, Wednesday, Thursdays), and more time to focus on Mondays and Fridays, either in the office or at home. The office workspace is located at ENMAX Place (141 - 50th Avenue SE, Calgary, AB).
