We are looking to hire an Administrative Assistant for our 5 Project Managers. This person will be responsible for clerical and administrative tasks related to steel fabrication jobs that the Project Managers manage; the Administrative Assistant will not be managing clients, jobs, work schedules or budgets.
- Data entry to all applicable logs and databases.
- Organize documents, stamp documents, make copies, and complete other related clerical work.
- Follow up on orders for material, parts, etc.
- Obtains related documents and writes invoices.
- Maintains updates for progress of jobs.
- Coordinates with vendors and General Contractors, and may research new vendors.
- May send follow up emails to customers regarding approvals and report updates to Project Manager.
- Manages turn around process with drawings.
- Creates ship tickets.
- Helps prepare written documents.
- Track certain product shipments.
- Must have 1 year experience with reading construction drawings (blueprints).
- Proficient computer skills including Microsoft Office Suite (Word and Excel) and Google Suite (Docs and Sheets).
- Experience in data entry is a plus.
- Experienced with Tekla software is a big plus.
- Must be able to pass a drug test.
- Acceptable scores on aptitude, IQ and personnel potential analysis testing.
- Minimum of 1 year experience in a similar role preferred.
- Excellent written and verbal communication skills.
- Ability to multi-task and work under pressure in a fast-paced environment.
Work hours: Full-time, Monday through Friday 8:30 AM - 5:00 PM (with a :30 minute meal break).

Please note that the office is located on the second floor of an office building with no elevator. Applicant should be comfortable going up and down stairs.
