Position Summary:
The Administrative Assistant provides high-level administrative support to ensure efficient operation of the office. This role supports managers and employees through a variety of tasks related to organization, communication, and clerical duties.

Key Responsibilities:
•Monthly PowerPoint Updates: Take data and drop it into a preformatted slide deck each month.
•Rubbertree Reports: Pull reports from Rubbertree, organize them in my OneDrive folder so they are ready when I need them.
•Trade Show & Event Support: Handle the admin side of events. That includes reaching out for quotes, coordinating with vendors, and working with customer admins to finalize details.
•LinkedIn Posting Support: Assist in creating posts using input from the VP of Sales and AI tools. No prior social media experience required, just help turn ideas from the VP into engaging content.
•Vendor Communication: Occasionally call/email/Teams a vendor or contact to get pricing or track something down quickly.
•Calendar Management: Keep the calendar up to date and help avoid double-booking
•Expense Reports: Help input monthly expense report submissions.
•Travel Planning: Book flights, hotels, rental cars, and organize itineraries.
•Maintain Sales Territories and Daily Sales reports
•Territory Changes as needed on invoices, sales orders, quotes, etc.
•Prepare agendas or talking points for internal meetings.
•Follow up with sales reps and branch managers on pending data and/or updates
•Coordinate team gifts, recognitions, or seasonal outreach
•Responsible for communicating, participating, and reviewing intercompany communications using Microsoft Teams via company computer, Honeywell, and/or app.
•Willingness to be flexible, including working overtime, on-call, and performing responsibilities not specifically identified in the job description and assuming new responsibilities for the betterment of Austin Hose.
Requirements:
Qualifications:
•High school diploma or equivalent; associate or bachelor’s degree preferred
•Proven experience as an administrative assistant or in a similar role
•Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
•Excellent written and verbal communication skills
•Strong organizational skills with the ability to multitask
•Attention to detail and problem-solving skills
•Ability to maintain confidentiality and exercise discretion
