About This Job

We are looking for a dispatcher/scheduler for our New Lowell yard. Major daily tasks of the dispatcher are as follows, but not limited to, arriving early to ensure drivers depart in a timely manor, helping drivers with directions to jobsites and paperwork questions, organizing driver paperwork from prior days to ensure all jobs attended have been recorded with proper paperwork, and creating the schedule for the next day for the drivers.

There are also small tasks such as working with front office staff and reception to ensure training is up to date, typing and emailing quotes, ensuring truck binders and paperwork is up to date, and other day to day office tasks.

In an industry that is very fast paced and changes occur quickly, it is beneficial to have our dispatcher arrive with our drivers. This ensures that if any trucks or trailer units need to be repaired or swapped out, the dispatcher will know what equipment is available. It also gives them a chance to first check voicemails and emails before people leave the yard in case something should need to be changed. It also gives them the chance to direct drivers to job sites should they need help finding a site, and clarify any paperwork questions before an issue arises while they’re on sites.

We ask that our dispatcher answer phone calls and schedule hydrovac and vacuum truck work, as they know directly what units are available and can organize days according to man power and equipment. After taking a phone call and booking a job, a work order should be created to ensure the driver has all the info they need when attending the site (ie. Site contact, address, phone numbers, facility generator and receiver license numbers). Once a work order is created, we have a 2 week schedule board in our office that the note should be added to so drivers and support staff are aware of scheduled work.

Emergency work accounts for a portion of our work as well. When requested, the dispatcher should use the GPS and support from the sales staff to organize which units are required, how much man power is required, and who the closest truck to respond would be. The dispatcher should call and coordinate the required people and units, and ensure any paperwork is done correctly should drivers need help. The dispatcher will also be required to call and arrange disposal should the company we are working for not supply disposal options themselves.

Paperwork and time sheets from the drivers are organized by the dispatcher as well to ensure all job sites that were attended are accounted for. If any paperwork is missing the driver should be contacted to check that it was done and see if it was forgotten. If the paperwork wasn’t made on the job site, the dispatcher should speak with driving staff to fill out the correct paperwork and ensure it is completed. Once paperwork is organized and confirmed, it should be passed along to the office staff to post and invoice accordingly.

Some coordination with mechanics is required to ensure each truck and trailer unit have up to date maintenance and records as well. If a unit is approaching an annual inspection, the dispatcher must coordinate with the mechanics to ensure the unit is kept in the yard, and all jobs for the next day are covered.
